Garb Approval Requirements

Fayhaven is a high-immersion event, meaning that the clothing and accessories that players use to portray their characters help to contribute to a sense of transportation to a new world. Because of this, we maintain certain guidelines to ensure that players are helping to furnish the world with immersive kit pieces that add to the overall experience. Each Culture in Fayhaven has a distinctive aesthetic that helps to communicate what Culture the player is portraying. Skin color, hair texture, body shape, and other physical features have no bearing on what Culture a player may represent. Therefore, a player’s kit is the only visual identifier as to what culture they are a part of.

Each Culture’s visual aesthetic is included in the Costume Guide under their Culture page. This includes Aesthetic Influences, Pre-Approved Items ready for purchase, and a link to the Culture Pinterest Board. This all should give a good starting point for players to build garb that reflects the Culture they will be portraying.

To keep Fayhaven immersive, all garb, armor, weapons, and gear must be staff-approved. This is done by sending in pictures via email to contact@fayhavenlarp.com. Please do not request official approvals through DMs, social media, or Discord.

When submitting their garb, players should include clear images, and pertinent information such as their Culture, Class, etc. Pictures can be of the whole kit or of individual items. Players are encouraged to submit their plans for homemade or commissioned items before investing in them, to be sure that they match the garb requirements. Players may send several emails through the approval process, including kit design plans, progress images, and a request for final kit approval. The approval process should not require dozens of emails, and each email should be as comprehensive as possible. We request that players not spam the email, and anticipate that responses to approval emails may take several days, as approvals are constantly ongoing and many other players will also be sending emails. All the Staff members responding to emails have other full-time occupations, and their time should be respected. DMing or @-ing Staff on social media or the Discord is not a method of decreasing their response time. If 7 business days have passed without receiving a response, you may send a follow up email.

Some gear may not be approved for this game. When an item is not approved by Staff, this decision is final, and players should not see it as an opportunity to plead their case or argue. Staff errs on the side of leniency, so if something is not approved, it is because it does not suit the intended Culture or the game itself. Staff often provides alternative options and is committed to helping players find suitable garb.

The approval process allows players to come into the game with full confidence that their garb fits into the world. Players who do not submit garb and arrive at the game wearing garb that does not fit their culture, or the game itself, will be asked by Staff to change clothing or gear. Players who bypass the approval system may forfeit their right to the “returning player window” of ticket sales the following year. Players who do not cooperate in the spirit of the game and who refuse to follow Staff guidelines may be asked to leave the event.

Following the garb approval process ensures that our players get to immerse themselves fully in a complete visual world. We are confident in our players’ ability to follow these guidelines in an effort to create the most immersive experience possible for one another.
